About the role

Key responsibilities & impact
  • Source and research service providers using Google Maps, search engines, or AI tools based on project needs and locations
  • Log potential vendors into standardized trackers with accurate contact and service-area data
  • Conduct direct outreach by phone and email to explain subcontractor opportunities
  • Guide interested vendors through onboarding, including documentation, questions, and file uploads to internal systems
  • Identify and track locations each vendor can service
  • Provide status updates and flag onboarding completions to the internal team
  • Make 40–60 outbound calls per day
  • Explain program value, overcome hesitation, and secure vendor commitments
  • Follow through urgently to move vendors to completion
  • Support vendor compliance efforts aligned with client and company standards
  • Educate vendors on compliance and performance expectations
  • Assist with issuing vendor agreements and amendments with Legal and Risk Management
  • Submit and track Internal Change Forms for SOX-compliant record-keeping
  • Maintain databases and spreadsheets for contract documentation, compliance materials, and onboarding progress

Requirements

What you’ll need
  • Minimum 3 years in a role involving high-volume phone-based outreach, convincing/persuading external parties, and structured onboarding/compliance tasks
  • Excellent verbal and written communication skills
  • High-volume outbound calling capability, with a target of 40–60 calls per day
  • Experience managing contracts, insurance verification, licensing, or regulated documentation
  • Comfort working in a metric-driven environment with recorded calls and performance tracking
  • Ability to validate insurance and compliance requirements accurately
  • Competence with spreadsheet tracking and structured workflow processes
  • Experience working with contractors, service providers, trades, or vendors strongly preferred
  • High-speed internet with 150–300 Mbps download required
  • Quiet, distraction-free workspace suitable for professional phone conversations and protecting customer information
  • Camera-on participation required during meetings and trainings
  • Workspace capable of accommodating multiple screens and an ergonomic setup
  • Backup plan for connectivity disruptions, including access to an alternate reliable location
  • Phone sales experience preferred
  • Experience supporting facilities, maintenance, or service-based operations preferred
  • 3–5 years of professional experience in administrative support, customer service, recruiting, or vendor management preferred
  • Comfortable using Microsoft Office, especially Excel and Word, online research tools, and AI-enabled platforms preferred
  • Ability to follow structured processes and escalate appropriately
  • Ability to multitask in a fast-paced, deadline-driven environment
  • Ability to work independently and with a team
  • Willingness to learn new technologies and support evolving business needs
