About the role

Key responsibilities & impact
  • Provide dedicated support to senior-level individuals
  • Provide a full personal organisational service and handle ad-hoc requests from Senior Management
  • Manage complex and busy diaries
  • Manage and book domestic and international travel
  • Monitor urgent emails and inboxes
  • Screen and handle telephone calls and emails
  • Manage and book client meetings and events, preparing documentation and itineraries
  • Produce documents, briefing papers, reports and PowerPoint presentations
  • Perform digital dictation where applicable
  • Assist with business development and communications activities using PowerPoint, Word and Excel
  • Organise client contact reports, delegate packs, printing and collating, and meeting and greeting delegates
  • Support financial administration and maintain accurate financial data and bills
  • Keep client contact information accurate and up to date
  • Manage expenses and company credit card, liaising with Accounts
  • Help the team work electronically and maintain a paperless environment
  • Use Word, Excel, PowerPoint and bespoke DAC Beachcroft systems
  • Support cost-saving travel initiatives
  • Handle confidential information according to firm data security protocols

Requirements

What you’ll need
  • Previous Executive Assistant experience within a professional services environment is essential
  • Minimum of 5 GCSEs, including a grade C in English and Maths, or equivalent
  • A secretarial NVQ / Diploma or equivalent would be beneficial but is not essential
  • Advanced IT skills, particularly in Microsoft packages
  • Demonstrable ability to multitask and prioritise a full workload under pressure and work independently
  • Demonstrable experience of organising successful large events
  • Excellent eye for detail with concern for quality and accuracy
  • Ability to communicate clearly and concisely orally and in writing
  • Client service-focused approach, interacting with clients professionally
  • Excellent planning and organisational skills, with ability to apply project management skills
  • Excellent all-round communication skills and ability to engage effectively with different audiences at all levels
  • Team-oriented, collaborative, flexible and can-do attitude
  • Ability to take accurate minutes and produce them
  • Professional telephone manner and ability to act as first port of call for external clients
  • Ability to work on own initiative and demonstrate proactivity
  • Effective planning, prioritisation, organisation and time management skills
