About the role

Key responsibilities & impact
  • Provide comprehensive secretarial and administrative support to lawyers in the MAESTRO team
  • Support day-to-day matter management and administrative requirements
  • Follow client-specific protocols and procedures
  • Prepare and manage client documentation and correspondence
  • Manage electronic document bundles and secure document transmission
  • Manage inboxes, electronic filing and document organisation
  • Prepare, format and produce legal documents and correspondence
  • Support document management and case management systems
  • Arrange meetings, coordinate diaries and assist with travel arrangements
  • Maintain accurate client and matter records
  • Handle confidential information in line with firm policies and data security requirements
  • Assist with billing, e-billing, WIP management, matter administration and expenses
  • Review time recording allocations and matter-related disbursements
  • Act as a key contact for lawyers and internal stakeholders
  • Liaise with clients, experts, counsel and external contacts
  • Collaborate with colleagues and proactively manage priorities while keeping stakeholders informed

Requirements

What you’ll need
  • Previous experience working as a Legal Secretary or within a legal support role
  • Strong experience within a law firm or legal environment
  • Excellent written and verbal communication skills
  • Advanced Microsoft Office skills, including Word, Outlook, Excel and PowerPoint
  • Experience using document management and case management systems
  • Exceptional organisational skills and ability to manage multiple competing priorities
  • Strong attention to detail and commitment to producing high-quality work
  • Professional, client-focused approach with excellent stakeholder management skills
  • Experience supporting teams within the Marine, Aviation, Energy, Shipping or Transportation sectors (desirable)
  • Exposure to e-billing processes and matter finance administration (desirable)
  • Experience preparing electronic bundles and working with secure document-sharing systems (desirable)
