About the role
Key responsibilities & impact- Provide dedicated support to executive leaders with a high degree of autonomy, discretion, and judgment
- Anticipate business needs and manage competing priorities
- Coordinate activities across senior leadership teams and multiple functions
- Manage complex calendars and coordinate meetings across multiple time zones
- Prepare executives for key interactions and serve as a primary point of contact for leadership activities and events
- Coordinate domestic and international travel
- Process and reconcile expenses
- Monitor administrative expenditures and ensure compliance with company policies and reporting requirements
- Lead logistics and operational support for executive visits, leadership meetings, town halls, customer engagements, and special events
- Coordinate facilities, technology, catering, visitor management, and related services
- Support the VP of Digital Transformation and IT, IDT General Counsel, and Chief Commercial Officer
Requirements
What you’ll need- High school diploma or equivalent required
- Minimum of 6+ years of executive administrative support experience supporting senior leaders in a complex corporate environment
- Demonstrated experience managing executive calendars, travel coordination, expense reporting, and meeting logistics
- Proficiency with Microsoft Office 365 applications and related business systems
- Ability to travel occasionally, up to 10%
- Ability to work in an office environment and move between meeting locations as required
- Ability to lift or carry materials associated with meeting or event setup as needed
- Previous experience supporting senior executives in a global, matrixed corporate environment is a plus
- Previous experience coordinating executive travel, leadership meetings, onsite events, and cross-functional business activities is a plus
- Experience with Concur, Workday, SAP, Microsoft 365, Teams, and SharePoint is a plus
