About the role

Key responsibilities & impact
  • Provide litigation legal secretarial and administrative support to Partners and Associates
  • Draft, proofread, edit and prepare correspondence, legal documents and court filings within strict deadlines
  • Coordinate with docketing support teams and confirm docketing deadline accuracy
  • Schedule and arrange resources for depositions, mediations, arbitrations and trial preparation
  • Coordinate court filings with the West Coast Managing Clerk team
  • Enter attorney time and process and review monthly bills
  • Serve as the primary liaison with Accounting regarding client bills
  • Schedule appointments, maintain calendars, anticipate conflicts and manage schedule changes
  • Make travel arrangements and set up conference calls
  • Maintain paper and electronic legal documents through NetDocs
  • Review and save email, delegate tasks or escalate matters to attorneys as appropriate
  • Respond to attorney and client needs with urgency and follow up to resolution
  • Prioritize, organize and relieve attorneys of administrative tasks
  • Schedule messenger, overnight delivery and courier services
  • Assist attorneys and staff with other projects as needed

Requirements

What you’ll need
  • 5+ years’ experience as a legal secretary or executive assistant required
  • Familiarity with law firm billing processes is a plus
  • GED or High School Diploma required
  • Proficient in Microsoft Office Suite, with strong word processing and computer skills
  • Experience with MS365 a plus
  • Proofreading, NetDocs and PowerPoint skills desired
  • Ability to demonstrate flexibility with competing priorities in a fast-paced environment
  • Demonstrate expertise in department-specific topics, procedures and software, including Aderant Billing, new matter intake and conflicts procedures
  • Ability to type 75 wpm on word processing equipment with a high degree of accuracy
  • Exceptional organizational skills; ability to multi-task, prioritize tasks, work under pressure and meet conflicting deadlines
  • Ability to communicate with finesse, tact, diplomacy and discretion with firm contacts and clients
  • Willingness to work in a team-oriented, service environment and share firm and technical knowledge
  • High degree of attention to detail and initiative to learn new skills
  • Strong time management skills
  • Highly professional demeanor and appearance; adherence to dress code

  • Maintain regular and consistent attendance and punctuality
