About the role

Key responsibilities & impact
  • Provide litigation-specific legal secretarial and administrative support to partners and associates
  • Support employment litigation and complex class action matters
  • Draft, proofread, edit, and prepare correspondence, legal documents, and court filings within strict deadlines
  • Coordinate with docketing support teams and confirm docketing deadline accuracy
  • Schedule and arrange resources for depositions, mediations, arbitrations, and trial preparation
  • Coordinate court filings with the West Coast Managing Clerk team
  • Enter attorney time and process and review monthly bills
  • Serve as the primary attorney liaison with the Accounting Department regarding client bills
  • Schedule appointments, maintain calendars, anticipate conflicts, and manage schedule changes
  • Make travel arrangements and set up conference calls
  • Maintain paper and electronic legal documents through NetDocs
  • Review and save emails, delegate tasks, or escalate matters to attorneys as appropriate
  • Respond to attorney and client needs urgently, with appropriate follow-up by telephone, email, and in person
  • Help attorneys prioritize and organize work and relieve them of administrative tasks
  • Schedule messenger, overnight delivery, and courier services
  • Provide assistance to other attorneys and staff on projects as needed
  • Maintain regular attendance and punctuality

Requirements

What you’ll need
  • 5+ years of experience as a legal secretary or practice assistant required
  • Experience supporting litigation practices preferred
  • Experience supporting employment litigation, wage and hour matters, or class action litigation strongly preferred
  • Familiarity with law firm billing processes is a plus
  • Proficient in Microsoft Office Suite
  • Strong word processing and computer skills
  • Experience with MS365 is a plus
  • Proofreading, NetDocs, and PowerPoint skills desired
  • Ability to demonstrate flexibility with competing priorities in a fast-paced environment
  • Expertise in department-specific topics, procedures, and software, including Aderant Billing, new matter intake, and conflicts procedures
  • Ability to type 75 wpm with a high degree of accuracy
  • Exceptional organizational skills
  • Ability to multitask, prioritize tasks, work under pressure, and meet conflicting deadlines
  • Ability to communicate with finesse, tact, diplomacy, and discretion with firm contacts and clients
  • Willingness to work in a team-oriented, service environment and share firm and technical knowledge
  • High degree of attention to detail and initiative to learn new skills
  • Strong time management skills
  • Highly professional demeanor and appearance; adherence to dress code
