About the role
Key responsibilities & impact- Manage the end-to-end routing, quality control, and meeting operations of the Promotional Review Committee process using Veeva Vault PromoMats
- Review incoming jobs for completeness and verify tactic type, audience, lifecycle state, and required references/claims documentation
- Ensure required metadata is complete and accurate before routing
- Perform version-control checks and label-alignment checks
- Route materials to Medical, Regulatory, Legal, and other subject-matter reviewers via Veeva Vault PromoMats
- Monitor review cycles and escalate bottlenecks
- Plan, schedule, and facilitate PRC meetings
- Build and circulate agendas and assemble annotated materials and reference packs
- Capture comments, decisions, and next steps and ensure timely incorporation of feedback
- Track approvals, version histories, re-approvals, renewals, and expiry dates
- Initiate re-review cycles triggered by label updates or market-specific requirements
- Provide status updates to brand teams, agencies, and reviewers
- Coordinate expedited reviews when needed
- Maintain audit-ready documentation in PromoMats and uphold SOPs and business rules
- Support user training, access requests, role assignments, and minor configuration requests with system owners
- Support the US launch of the VIASKIN peanut patch
Requirements
What you’ll need- 1–2+ years coordinating PRC processes in pharma/biotech, medical devices, or healthcare marketing operations
- Hands-on experience with Veeva Vault PromoMats, including submission workflows, routing, annotations, versioning, and permissions
- Strong understanding of US FDA advertising and promotion principles, including fair balance, on-label claims, and ISI
- Ability to manage multiple concurrent submissions and deadlines in a fast-paced environment
- Excellent organization, communication, and stakeholder management skills
- Confident meeting facilitation and note capture
- High attention to detail and proven quality-check mindset
- Comfort with metadata, taxonomies, and audit readiness
- Knowledge of Veeva Vault PromoMats job creation, metadata tagging, routing, annotations, redlines, reference linking, version control, lifecycle states, and reporting
- Knowledge of PRC meeting facilitation, agenda building, time management, decision/action capture, and driving to consensus
- Regulatory and compliance awareness, including approved labeling, OPDP considerations, and market-specific rules
- Document proofing, consistency checks, and reviewer-readiness
- Project management skills, including prioritization, risk escalation, stakeholder updates, and familiarity with agency workflows
- Proficiency with Microsoft 365 (Teams, Outlook, Excel/SharePoint), Adobe Acrobat, and common agency file formats
