About the role

Key responsibilities & impact
  • Support Deepgram’s CEO and CTO under the guidance of their Executive Assistant
  • Own scheduling and maintain clean, conflict-free calendars based on executive priorities
  • Plan and manage complex travel end to end and handle changes quickly
  • Manage the CTO’s inbox and triage the CEO’s inbox, resolving routine matters and escalating issues requiring executive judgment
  • Run day-to-day office operations in Ann Arbor, including supplies, vendors, visitors, and workplace upkeep
  • Plan logistics for leadership offsites, executive dinners, and team events
  • Maintain expenses, reimbursements, and corporate card reconciliation
  • Use AI and automation for scheduling, inbox triage, and meeting preparation
  • Share effective AI processes with the wider executive support team
  • Help build shared systems and standards for executive and cross-functional operations at Deepgram

Requirements

What you’ll need
  • At least one role directly supporting an executive, with hands-on ownership of calendar management and travel booking
  • Exceptional attention to detail, including scheduling across time zones
  • Daily, hands-on use of AI tools and enthusiasm for using them to replace manual steps
  • Clear, professional written communication
  • Sound judgment with confidential information
  • Ability to juggle competing requests and stay calm under time pressure
  • Responsiveness to time-sensitive executive requests throughout the day, with coverage shared across a two-person team
  • Thriving off feedback and openness to coaching
  • Residence within commuting distance of Ann Arbor, MI, with regular, consistent in-office presence
  • 1–3 years of experience in executive support or a similar coordination role
  • Experience in a support role at a tech startup or high-growth company
  • Experience supporting more than one executive at a time
  • Experience using AI beyond chat, such as automations, custom assistants, or workflows
  • Experience with office management or workplace operations
  • Familiarity with executive-support tools for calendar, travel, expense, and communications
  • Legally authorized to work in the country where the role is located
