About the role
Key responsibilities & impact- Report directly to the Director of Major Event Operations.
- Support major event operations and logistics for colleges, universities, performing arts centers, and other market accounts.
- Manage assigned client relationships operationally and serve as the primary contact throughout the event lifecycle.
- Lead client and internal operational meetings.
- Exercise independent judgment to resolve issues and make time-sensitive event decisions.
- Facilitate advance processes, create schedules, hire vendors, manage marketing approvals, and review contracts.
- Translate bookings into executable event plans as the operational counterpart to assigned agent desks.
- Coordinate production, staging, catering, staffing, fencing, power, and other vendor logistics.
- Create, publish, and negotiate vendor RFPs or RFQs.
- Ensure compliance with insurance, health, legal, and safety requirements.
- Travel as needed for onsite logistical support, meetings, pre-site visits, and conferences.
- Handle high volumes of calls, emails, and other communications.
- Utilize and develop SOPs for event communication, project management, and other work efforts.
- Participate in staff, departmental, client, sales, and other necessary meetings.
- Use CRMs, project management systems, communication platforms, AI tools, and future company technology.
- Perform general office and administrative duties and other assigned duties.
Requirements
What you’ll need- Minimum of two (2) years professional experience with live entertainment management, history of providing professional onsite logistical support, and running tour advances, production logistics, and artist & vendor hospitality.
- Confident, outgoing, organized, and process-oriented with strong interpersonal communication skills.
- Multi-tasker with superior time management skills and meticulous attention to detail.
- Proven experience with troubleshooting and problem solving in high intensity situations.
- Ability to independently manage client relationships and act as a primary point of contact for events, including leading meetings and representing the organization as a whole.
- Technologically comfortable with internet, social media, zoom, teams, Office/Microsoft365.
- Able to pass an NCIC FBI Background check.
- Must possess a valid and current Real ID and/or U.S. Passport.
- Must have a current driver's license registered in a state in the USA, and the ability to travel independently.
- Must be able to perform to the necessary physical standards of supporting clients on site and be comfortable working in indoor and outdoor locations, potentially across different climates.
- Must be a United States citizen and reside in the United States.
- Familiarity with the entertainment industry, including music, speakers, comedians, and similar acts.
- Knowledge and previous experience working with higher educational institutions (colleges, universities).
- Past experience building budgets and working with P&L statements.
- Technical proficiency with SharePoint, ClickUp, and Salesforce.
