About the role

Key responsibilities & impact
  • Answer patient communications by phone, email, fax, and other channels regarding coordination of care, medical results, and document tracking
  • Obtain complete information on incoming calls from patients and physicians
  • Route calls and messages to the appropriate area in a timely manner
  • Retrieve, document, and route voicemails the same day
  • Enter phone messages as Maestro-Care In-basket Messages for triage, physicians, or advanced practice providers as appropriate
  • Process or route incoming faxes, including prescription requests, diabetic forms, FMLA paperwork, DMV forms, and disability requests
  • Assist with FMLA and disability paperwork, including collection, submission, and spreadsheet tracking
  • Review provider schedules for visit appropriateness, complete records, pre-visit lab work, correct appointment slots, and overbookings
  • Review clinic patient lists and ensure records are available before clinic
  • Order outside records and communicate with referring physician offices and patients to obtain records releases
  • Request imaging CDs and submit them to PACS for upload
  • Receive, print, and scan outside medical records
  • Route clinic notes to patients’ care teams
  • Request records for returning patients seen elsewhere
  • Process no-show letters
  • Process provider letters, clinic notes, and lab results to patients within 24 hours
  • Ensure follow-up and lab appointments are scheduled or queued for scheduling
  • Send provider-signed referrals to outside facilities for labs, studies, and tests
  • Scan paper records and required documents to HIM
  • Update the Maestro-Care Health Maintenance tab with the appropriate return interval

Requirements

What you’ll need
  • High school diploma or equivalent education required
  • One year of clerical, office support, or related experience required, or an equivalent combination of relevant education and/or experience
  • Basic keyboarding skills
  • Ability to learn web-based software applications quickly
  • Highly organized
  • Proficiency in Microsoft Word and Outlook required
  • EPIC and EPIC Cadence experience desired
