  • Partner with clinical and operational teams to schedule patients.
  • Transfer clinical calls to Triage when required.
  • Participate in quality assurance reviews for outreach efforts.
  • Reference scheduling guidelines and protocols to assure accurate scheduling.
  • Review and update patient demographic and insurance information as needed.
  • Answer switchboard calls and transfer patients to the correct department.
  • Send afterhours physician pages for inpatient and outpatient callers.
  • Answer incoming calls pleasantly and appropriately using the assigned greeting and name.
  • Speak clearly and professionally.
  • Document outreach calls, appointment scheduling, notable patient concerns, and resources provided.
  • Participate in departmental projects, huddles, and meetings.
  • Maintain and obtain accurate and current resource material.
  • Participate in the rotation of department responsibilities and perform other related projects and duties.
  • Report to the Practice Manager or Operational Supervisor.

Requirements

What you’ll need
  • Full-Time, 40 hours per week.
  • Monday - Friday | 8:00am-5:00pm.
  • Strict patient confidentiality must be maintained.
  • Adherence to all HIPAA guidelines.
  • Ability to coordinate scheduling and collaborate with providers, clinical support staff, and operations.
  • Ability to provide customer service when scheduling appointments, explaining appointment purposes, providing same-day access, navigating care, validating patient demographics, and verifying coverage.
  • Ability to serve as a resource and subject matter expert for team members.
  • Ability to assist with daily workflow coordination, onboarding and training, troubleshooting complex issues, and maintaining quality and operational standards.
  • Ability to communicate process and workflow updates, identify improvement opportunities, and escalate operational concerns.
  • Ability to monitor productivity, quality, and timeliness and identify trends or improvement opportunities.
  • Ability to review productivity and quality metrics and communicate performance expectations.
  • Knowledge of scheduling guidelines and protocols.
  • Ability to accurately update patient demographic and insurance information.
