About the role
Key responsibilities & impact- Support day-to-day management of photo and video productions from pre-production through post-production
- Lay out and update decks for leadership review
- Facilitate NDAs and proper filing for vendors and partners
- Track crew statuses from pre- to post-production via shoot production tracker
- Update usage calendars after shoot usages are confirmed
- Create and distribute SOPs for external partners
- Maintain deal memos, production job folders, subfolders, and file naming systems
- Perform ad hoc tasks as requested by the manager
- Check agent and team availability and holds for upcoming projects
- Maintain booking trackers for each shoot
- Book travel and accommodation
- Create project budgets and maintain updated numbers
- Manage permitting
- Submit equipment and production supplies lists
- Make and send call sheets
- Organize catering
- Maintain a stocked and organized production kit and product suitcase
- Represent rhode professionally on set
- Manage PAs on set
- Oversee set setup and breakdown
- Track crew hours and NDA signatures
- Manage, distribute, and reconcile product units on set
- Distribute shot lists and facilitate reference boards
- Account for and responsibly destroy printed/reference materials after wrap
- Track products shot in situ and on model
- Keep sets organized and presentable
- File and verify invoices and receipts against budgeted costs
- Mark up retouching notes according to the brand retouching guide
- Organize retouching feedback and revisions
- Support asset distribution to cross-functional partners
Requirements
What you’ll need- A minimum of a Bachelor's degree in related field
- 3+ years of experience as a production coordinator, operations, or project management within beauty, CPG, or fashion/lifestyle industries
- Proven ability to manage multiple timelines, vendors, and deliverables simultaneously with strong attention to detail
- Strong verbal and written communication skills to effectively coordinate across creative, operations, and external partners
- Proficiency with project management and production tracking tools (e.g., Asana)
- Proficiency with design tools (e.g., Figma, Adobe Creative Suite)
- Ability to anticipate production challenges, propose proactive solutions, and adapt in a fast-paced, evolving environment
- A positive attitude with a commitment to growth through giving and receiving constructive feedback and making adjustments accordingly
