About the role

Key responsibilities & impact
  • Follow safe work practices and company and client worksite safety policies and procedures
  • Independently manage project invoicing and budget compliance
  • Review contract terms and resolve discrepancies with internal stakeholders and clients
  • Oversee procurement and provisioning of project-critical assets
  • Develop and enforce procurement workflows aligned with budgets, timelines, and legal requirements
  • Liaise with external vendors on onboarding, compliance reviews, COI management, and performance evaluations
  • Support subcontractor onboarding and maintain documentation and compliance standards
  • Resolve timecard exceptions, job code alignment, and field hour discrepancies
  • Provide backup timecard approvals in the PM's absence
  • Coordinate and approve complex travel requests
  • Lead project meeting coordination and documentation
  • Capture decisions, assign deliverables, and maintain cross-functional accountability
  • Assist with drafting and processing change orders, including impact analysis and approvals
  • Collaborate with HR and project leadership on staffing needs, requisition planning, onboarding strategy, and compliance reviews
  • Maintain and standardize customer bid templates and project documentation systems
  • Oversee project equipment returns, cost recovery, vendor negotiation, and logistics coordination

Requirements

What you’ll need
  • High school diploma or GED required
  • OSHA 10 within first 2 weeks in role
  • Experience in project coordination, administration, or program support preferred
  • Strong organizational and time management skills with attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency with project management and financial systems (e.g., NetSuite, Smartsheet, Lever, Paycom) preferred
  • Excellent communication and interpersonal skills to collaborate effectively with internal teams, vendors, and subcontractors
  • Strong understanding of financial processes including invoicing, purchase orders, and budget tracking
  • Ability and willingness to travel as required
  • Ability to regularly lift and/or move up to 40 pounds and frequently lift and/or move up to 25 pounds
  • Ability to regularly carry and climb ladders to 20 feet
  • Ability to operate scissor lifts, telehandlers, boom lifts, and UTVs if required
  • Ability to work in tight and confined spaces
