About the role
Key responsibilities & impact- Follow safe work practices and company and client worksite safety policies
- Independently manage project invoicing and budget compliance
- Review contract terms and resolve discrepancies with internal stakeholders and clients
- Oversee procurement and provisioning of project-critical assets
- Develop and enforce procurement workflows aligned with budgets, timelines, and legal requirements
- Liaise with external vendors, including onboarding, compliance reviews, COI management, and performance evaluations
- Support subcontractor onboarding and maintain documentation and compliance standards
- Resolve timecard exceptions, job code alignment, and field hour discrepancies
- Provide backup timecard approvals in the project manager’s absence
- Coordinate and approve complex travel requests
- Lead project meeting coordination and documentation
- Assist with drafting and processing change orders, impact analysis, and approvals
- Collaborate with HR and project leadership on staffing needs, requisition planning, onboarding, and compliance reviews
- Maintain customer bid templates and project documentation systems for audit readiness
- Oversee project equipment returns, cost recovery, vendor negotiation, and logistics coordination
Requirements
What you’ll need- High school diploma or GED required
- OSHA 10 within first 2 weeks in role
- Experience in project coordination, administration, or program support preferred
- Strong organizational and time management skills with attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with project management and financial systems (e.g., NetSuite, Smartsheet, Lever, Paycom) preferred
- Excellent communication and interpersonal skills to collaborate effectively with internal teams, vendors, and subcontractors
- Strong understanding of financial processes including invoicing, purchase orders, and budget tracking
- Ability and willingness to travel as required
- Must regularly lift and/or move up to 40 pounds and frequently lift and/or move up to 25 pounds
- Must regularly carry and climb ladders to 20 feet
- Must be able to operate scissor lifts, telehandlers, boom lifts, and UTVs if required
- May be required to work in tight and confined spaces
