About the role
Key responsibilities & impact- Manage complex internal, client-based, and project-based calendars for three senior leaders
- Prioritize conflicting appointments and triage internal and external stakeholder requests
- Manage end-to-end executive travel, including flights, hotels, ground transportation, restaurant reservations, disruptions, receipts, and expenses
- Copyedit and support the design of near-final deliverables
- Serve as Project Administrator for senior-leader-led projects
- Schedule internal and client calls, focus groups, interviews, and in-person meetings
- Manage virtual meeting logistics, including registration, participant management, breakout rooms, interactive polls, and real-time technical troubleshooting
- Oversee in-person event operations, including venue and vendor sourcing, hotel booking, catering, supplies shipping, and registration
- Coordinate attendee and speaker travel, event communications, and expense reimbursements
- Foster Home Team and Internal Team culture through gift management, new-hire welcomes, meeting agendas, and culture-building activities
- Contribute to Executive Assistant team goals, learning, and initiatives
- Provide temporary coverage for other Executive Assistants during PTO or leave
Requirements
What you’ll need- Experienced administrative professional skilled at supporting multiple senior leaders simultaneously
- Ability to manage conflicting priorities, cross-time-zone scheduling, end-to-end travel arrangements, and event/expense logistics
- Resourceful, self-motivated, proactive problem-solving and ability to work autonomously
- Strong emotional intelligence and communication skills to build trusted relationships
- Extreme organization and precision
- Service mindset, flexibility, and customer-focused approach
- Fluency in Google Workspace, MS Office, ClickUp, and Calendly
- Comfortable using generative AI and automation tools such as Gemini, Claude, and Copilot
