About the role

Key responsibilities & impact
  • Take responsibility for all aspects of designated customer accounts
  • Conduct telephonic and electronic follow-up and closing for open work orders
  • Ensure work orders are completed on time and contractual obligations are met
  • Serve as the main point of contact for designated customers
  • Handle daily customer communications, updates, and escalations
  • Handle AP, billing, and service provider escalations/issues
  • Perform administrative support including ordering, vendor management, scheduling, reporting, and purchase order coordination
  • Provide administrative and technical direction and supervision to subcontractors
  • Interface with departments to ensure equipment operates properly without service disruption
  • Respond to facility maintenance and repair requests involving HVAC, security components, IT equipment, and emergencies
  • Maintain records, files, controls, procedures, and safety programs
  • Communicate with employees, management, contractors, customers, and supervisors
  • Participate in budget/forecast development and identify cost-reduction opportunities
  • Conduct daily/weekly open-work-order reporting
  • Attend weekly staff meetings and safety training

Requirements

What you’ll need
  • Associate's Degree and/or equivalent experience
  • Minimum of two years of experience in facilities maintenance, property management or customer service role required
  • Experience managing service delivery for trades labor such as Electrical, HVAC, Plumbing, or Roofing preferred
  • Bi-lingual English-Spanish preferred
  • Advanced proficiency in MS Windows Applications, including MS Excel and Word
  • Must be able to type minimum 50 wpm and have good writing skills
  • Ability to work under pressure and make correct decisions with limited input
  • Ability to determine when to escalate issues to the Facilities Manager/Supervisor or Account Manager
  • Ability to communicate effectively and efficiently with Operations Staff and Call Center Operations team
  • Ability to critically think and problem solve
  • Professional, courteous, punctual, reliable demeanor and strong work ethic
