About the role

Key responsibilities & impact
  • Participate in daily morning planning sessions and end-of-day debriefs
  • Engage with patients in-person, via phone, and through email
  • Provide timely updates and patient handouts
  • Collaborate with phlebotomy, nursing, physicians, billing, external lab representatives, and other departments
  • Utilize lab quotes to ensure accurate draw orders
  • Navigate the EMR system, update patient charts, and verify orders
  • Prepare lab kits and requisition forms for in-clinic and remote phlebotomy
  • Maintain, assign, monitor, and audit task planners
  • Track lab results using lab portals and spreadsheets and follow up on delayed or missing results
  • Communicate pertinent updates to care teams
  • Coordinate quoting and billing for out-of-pocket labs
  • Process lab orders according to LabCorp, Sonora Quest, and specialty lab requirements
  • Educate patients on lab processes and requisition forms
  • Manage and schedule external referrals per physician orders
  • Design, prepare, and distribute appointment cards
  • Support phones, scanning, uploading, filing, and other administrative duties
  • Use Practice Fusion, Microsoft Teams, Outlook, SharePoint, Planner, Intermedia Unite, Salesforce, and Trainual
  • Respond to real-time updates and requests
  • Adhere to HIPAA, OSHA, internal policies, SOPs, and employee handbook regulations

Requirements

What you’ll need
  • 1–2 years of experience in a medical or administrative support role
  • Strong communication and organizational skills
  • Proficient in EMR systems and Microsoft Office (Outlook, Teams, Excel)
  • Detail-oriented with the ability to multitask in a fast-paced environment
  • Team player with a patient-first mindset
  • Comfortable adapting to evolving responsibilities
  • Knowledge of HIPAA and OSHA compliance standards
  • Flexibility, initiative, and a growth mindset
  • Ability to work on-site Monday through Friday, 9:00 AM to 5:00 PM
