About the role

Key responsibilities & impact
  • Manage attorneys’ daily schedules, calendars, travel arrangements, teleconferences, depositions, court appearances, hearings, and pleadings/discovery deadlines
  • Draft, format, and proofread legal documents, including letters, memoranda, briefs, pleadings, discovery, agreements, and contracts
  • File documents in California state, federal, and appellate courts using e-filing systems such as One Legal, PACER/ECF, and Truefiling
  • Assist with discovery processes, including drafting discovery shells and transmitting document productions
  • Enter attorney time entries using systems such as Intapp
  • Maintain, organize, and update physical and electronic case files using systems such as iManage
  • Prepare trial and arbitration materials, including binders, exhibits, witness files, and supporting documents
  • Coordinate logistics for depositions, mediations, arbitrations, hearings, and client meetings
  • Communicate with clients, court personnel, opposing counsel, vendors, and internal colleagues
  • Provide administrative support by answering and directing calls, taking accurate messages, and maintaining professionalism
  • Process expense reports, reimbursements, and check requests accurately and promptly

Requirements

What you’ll need
  • BA/BS degree preferred
  • Minimum 5+ years of experience as a Legal Assistant or paralegal
  • Demonstrated experience with e-filings in both state and federal courts preferred
  • Strong knowledge of California Rules of Court, Code of Civil Procedure, and local court rules
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), including complex calendar management
  • Strong technical aptitude, including experience with document management systems, attorney time entry software, and online research tools
  • Exceptional organizational skills and attention to detail
  • Strong time management skills with the ability to prioritize and manage multiple tasks across multiple attorneys
  • Ability to work effectively under tight deadlines while maintaining accuracy, professionalism, and composure
  • Demonstrated ability to collaborate across functional areas to meet deadlines and resolve issues
  • Strong interpersonal and communication skills, with the ability to interact professionally with internal and external clients
  • Proactive, team-oriented approach with the ability to anticipate needs and provide support where needed
  • Flexibility to work occasional overtime to meet urgent client and business needs
  • Prolonged periods of sitting at a desk and working on a computer
