About the role

Key responsibilities & impact
  • Independently plan and execute small meetings and events with under 50 attendees
  • Coordinate logistics for live and virtual events, including venue selection, contract negotiations, travel, food and beverage, room setup, virtual platforms, audiovisual services, and ancillary vendors
  • Manage audience generation and attendee data, including post-meeting Sunshine Act reporting
  • Process healthcare professional payments and vendor invoices
  • Track and prepare attendee spend reports to comply with Sunshine Act guidelines
  • Review and reconcile final invoices and pass-through costs within mandated timelines
  • Update and distribute meeting templates and materials to targeted attendees
  • Coordinate outsourced ground transportation and manage arrival and departure manifests
  • Collaborate with internal departments for timely coordination and planning
  • Maintain dialogue with the manager and project team throughout programs
  • Evaluate program progress and respond to scope changes
  • Maintain or exceed minimum billable utilization percentages
  • Perform on-site management and travel as required
  • Complete other duties as assigned

Requirements

What you’ll need
  • 4-year college degree
  • Minimum 2-3 years meeting planning experience
  • CMP Certification preferred, but not required
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Experience with Cvent®
  • Experience with other web-based registration systems
  • Experience executing virtual meetings using Zoom, WebEx, Adobe Connect, On24, or GoToMeeting
  • Knowledge of the hotel, air travel, and event planning industry
  • Strong accounting and negotiation skills
  • Ability to work independently on assigned projects
  • Ability to prioritize, multitask, and plan numerous meetings simultaneously
  • Ability to take direction and apply appropriately to ongoing projects
  • Ability to handle conflict, resolve problems, and manage well in a dynamic environment
  • Experience and ability to manage and travel to meetings in the US and internationally
  • Required availability outside standard work hours, including evenings and weekends
  • Awareness of and adherence to PhRMA, FDA, OIG, ACCME, and ADA guidelines
