About the role
Key responsibilities & impact- Build and maintain the subcontractor network supporting U.S. field operations
- Source, evaluate, qualify, and onboard traffic control, utility locating, survey, and excavation subcontractors
- Complete onboarding documentation including W-9s, insurance, licenses, safety documentation, and master subcontract agreements
- Set vendors up in accounting and project systems
- Request, compare, and negotiate quotes and rate sheets
- Maintain a current rate database for scoping and proposals
- Maintain the approved subcontractor list by region, service type, capacity, and performance history
- Identify coverage gaps and confirm vendor availability before mobilization
- Gather field feedback and recommend vendors to retain, develop, or replace
- Verify subcontractor certificates of insurance and request broker-issued COIs
- Support bond requests and manage business license and contractor registration requirements
- Track document expirations and maintain a searchable document repository
- Obtain permit, agency, and client-required documents
- Maintain agency requirement references, shared trackers, and templates
- Provide backup support for 811 design ticket submissions and other coordinator tasks
- Reconcile subcontractor invoices against POs, quotes, and field-confirmed quantities
- Resolve invoice discrepancies and maintain payment-status visibility with Finance
Requirements
What you’ll need- 2 to 4 years of experience in subcontractor or vendor management, construction administration, or a comparable operations support role
- Working familiarity with certificates of insurance, additional insured requirements, bonds, and contractor licensing
- Comfort working with insurance brokers, sureties, and state and municipal licensing offices, or ability to learn their processes quickly
- Strong organization and attention to detail across many open items, projects, and vendors
- Clear written and verbal communication skills and persistence to follow up until items are closed
- Proficiency with Microsoft 365 or Google Workspace, especially spreadsheets
- Ability to learn new project and accounting tools
- Ability to work independently and prioritize in a fast-moving, remote-first environment
- Experience in utility, civil construction, engineering services, or field services industries
- Familiarity with pricing practices of traffic control, utility locating, or survey subcontractors
- Exposure to construction accounting workflows, POs, invoice matching, ERP, or AP systems
- Exposure to permit document requirements from DOTs, municipalities, or railroads, or to 811 design ticket submissions
