About the role

Key responsibilities & impact
  • Provide support and assistance to the Tour Operations group.
  • Provide leadership, guidance, and support to Tour Coordinators, Tour Office Coordinators, and Athletic Trainers.
  • Hire, onboard, and train new Tour Coordinators and Athletic Trainers.
  • Coordinate Athletic Trainer training with the Head Athletic Trainer and provide continued support.
  • Assist with onboarding and support of Tour Office Coordinators.
  • Provide leadership, guidance, and administrative oversight of Tour Coordinators and Athletic Trainers with Tour Managers.
  • Create and maintain training documents and operating policies.
  • Conduct scheduled meetings with Tour Coordinator and Athletic Trainer teams.
  • Liaise between Corporate Office departments and Tour Coordinators on immigration, transportation, hotel accommodations, public relations, and human resources.
  • Oversee visas for corporate personnel conducting show visits.
  • Liaise with Corporate Office personnel and Athletic Trainers regarding workers compensation, injury statistics, and OSHA Logs.
  • Support public relations and promotional activities and coordinate advance and large-scale PR events.
  • Maintain the Stagehand contract database and issue contracts for international Disney on Ice and Ringling Stagehands.
  • Coordinate group hotel logistics and secure hotel contracts for refurbs, training, and rehearsals.
  • Provide logistical support for Tour Operations, Show Support, and Unit personnel during rehearsal periods.
  • Coordinate housing, contractor/vendor payments and per diem, calendars, schedules, and transportation.
  • Coordinate travel arrangements for Creative Team members, coaches/trainers, and independent contractors.
  • Review and distribute contracts and expense reimbursements.
  • Coordinate opening-night events for new productions.
  • Maintain and distribute Tour Operations planning calendars and show staffing updates.
  • Perform other job-related duties as assigned.

Requirements

What you’ll need
  • College degree preferred but not required.
  • Previous work experience as an Ice Show Tour Coordinator, an equivalent combination of work experience and education, or experience performing similar duties for a live touring show.
  • Previous work experience in the Travel industry or coordinating / facilitating Domestic & Int’l travel arrangements for groups of 100 or more people.
  • Must have a valid driver’s license and passport and be willing to travel internationally and domestically as needed.
  • Proficient computer skills with Microsoft Word, Excel, and Outlook.
  • Ability to apply common sense understanding to carry out written or diagrammed instructions and solve practical problems.
  • Ability to write detailed comprehensive reports and correspondence and communicate across organizational levels with strong interpersonal and organizational skills.
  • Familiarity with US and international visa requirements, Workers Compensation rules and procedures, FMLA, and basics of US law regarding hiring and termination of employees.
  • Experience facilitating/coordinating PR/promotional events, including live and taped radio and television events, print interviews, and live appearances.
  • Experience working with and managing large, multinational groups.
