About the role

Key responsibilities & impact
  • Manage operating expenses for the field office and field activities, including preparing approved daily payments
  • Review accounting documents and ensure that transactions are fully documented
  • Verify advance requests, travel expense reports, and operating expenses; reconcile advances and archive supporting documents in SharePoint
  • Support the Grants team in tracking and processing fund requests and regional subgrant reports
  • Support the management of workshops and activities, including participant payments
  • Provide administrative and logistical support for the field office and monitor assets and equipment
  • Assist the Dakar Procurement department with on-site acquisitions and serve as the focal point for local suppliers
  • Serve as the administrative liaison with the Regional Health Directorate and local partners
  • Maintain accounting records and files; verify invoices and prepare payment documentation
  • Manage and liquidate advances for missions, workshops, staff, and consultants
  • Record transactions in GFAS and maintain physical and electronic archives in SharePoint
  • Monitor the fixed asset register and flag non-compliant expenses, budget overruns, or financial risks
  • Identify local suppliers, collect quotations and pro forma invoices, prepare purchase requisitions, and receive goods and services
  • Organize workshops, seminars, training sessions, and missions in the covered regions
  • Manage office inventories, fixed assets, equipment, routine maintenance, and minor repairs
  • Prepare periodic administrative and financial reports and support the archiving and auditing of financial statements

Requirements

What you’ll need
  • Bachelor’s degree (minimum three years of higher education) in finance, accounting, management, or administration
  • At least two years of experience in a similar position with an NGO or local institution; experience in a decentralized or field office is an advantage
  • Demonstrated respect for deadlines, honesty, and strong organizational skills
  • Self-motivated and able to take responsibility, as the position is based outside the national headquarters
  • Ability to work under pressure
  • Proficiency in Excel, Word, and at least one accounting software package, as well as collaboration tools such as SharePoint
  • Maintain positive working relationships with suppliers and partners while safeguarding FHI 360’s integrity and reputation
  • Strong interpersonal and diplomatic skills when working with regional health authorities and partners
  • Ability to work in a multisectoral, multidisciplinary, and multicultural environment
  • Ability to manage multiple tasks concurrently and efficiently while prioritizing effectively
  • Willingness to sign FHI 360’s Code of Conduct
  • Willingness to undergo reference, criminal record, and terrorism financing checks
