About the role
Key responsibilities & impact- Provide administrative and project support for STRIDES Quality Assurance activities
- Collect, compile, and analyze project information
- Update manuals and process complex paperwork
- Support project management with conference room setup, travel requests, and sub-task assignments
- Facilitate communication with partners and maintain internal and external project websites
- Coordinate assigned project activities and conduct research
- Write, review, and translate quarterly reports
- Review and contribute to work plans
- Assist with project budget coordination
- Enter and maintain procurement requisitions in CostPoint and track completion
- Maintain procurement request logs and follow up on missing information, documentation, and approvals
- Support MSA commodity requests and organize procurement files
- Monitor procurement milestones and escalate delays or incomplete packages
- Support verification of receipt, delivery documentation, and procurement closeout records
- Maintain subcontractor and consultant files, trackers, deliverable schedules, and authorization records
- Support subcontractor and consultant onboarding and offboarding
- Track deliverables, invoices, periods of performance, and modification or renewal dates
- Maintain FFATA records and compliance documentation
- Conduct completeness checks and escalate discrepancies
- Compile and follow up on inputs for project reports
- Maintain audit-ready files and support internal reviews or audits
- Provide administrative and operational support for assigned country portfolios
- Maintain country trackers, calendars, deadlines, and follow-up lists
- Document meeting decisions and action items and follow up with responsible parties
- Prepare country updates, briefing materials, and implementation-status summaries
- Maintain SharePoint folders, trackers, templates, procedures, job aids, and reference materials
- Support document version control, archiving, and file-quality checks
- Maintain distribution lists, contact lists, and newsletter content inputs
- Coordinate onboarding and offboarding logistics
- Support scheduling, agendas, meeting materials, notes, and action-item tracking for Operations/Quality Assurance meetings
- Identify administrative or documentation gaps and recommend process improvements
- Track service requests and routine turnaround times
- Perform other duties as assigned
Requirements
What you’ll need- Bachelor's Degree or its International Equivalent in Civil Society, Communication and Social Marketing, Economic Development, Education, the Environment, Gender, Health, Nutrition, Research, Technology and Youth, or a related field
- Minimum of 2+ years of relevant experience supporting projects and/or a technical practice area
- Prior work experience in an NGO, government agency, or private organization
- Basic knowledge of concepts, practices, and procedures with project design
- Strong oral and written communication skills
- Demonstrated proficiency with Microsoft Office suite software
- Ability to solve problems and recommend corrective action
- Strong organizational skills and attention to detail
- Must be able to read, write, and speak fluent English
- Fluent host-country language as appropriate
- Spanish and French are a plus
- Ability to use Microsoft applications including Office 365, SharePoint, Skype/Zoom/Teams
- Ability to complete required screening checks, including reference, criminal record, terrorism finance, and misconduct disclosure checks
- Ability to travel 10%–25%
