About the role

Key responsibilities & impact
  • Serve as the primary point of contact for office vendors, coordinating deliveries, service visits, invoices, and renewals
  • Manage recurring and ad hoc ordering for office supplies, snacks, beverages, and kitchen inventory
  • Coordinate facilities and maintenance requests and keep office areas stocked, tidy, and functional
  • Receive, sort, and distribute incoming mail and packages and manage outgoing shipments
  • Greet and register office visitors and manage the front desk during office hours
  • Manage employee and guest badges and key fobs, including issuing, deactivating, and troubleshooting access
  • Maintain and administer desk and room booking software, including user setup, configuration, and troubleshooting
  • Plan and execute in-office events, team lunches, celebrations, and offsites
  • Manage event catering orders and vendor coordination, including setup and breakdown
  • Assist with leadership meeting coordination, scheduling, logistics, and materials preparation
  • Coordinate travel arrangements for leadership and other team members
  • Support candidate experience through interview scheduling and day-of coordination
  • Assist with onboarding logistics and first-day setup
  • Partner with IT on onboarding equipment, system access, and employee technology support
  • Support employee recognition and gifting programs
  • Provide general administrative and scheduling support to the People team

Requirements

What you’ll need
  • 1 to 3 years of experience in an office management, office coordination, administrative, or HR/People support role
  • Comfortable managing multiple vendors, stakeholders, and priorities independently
  • Strong organizational skills and follow-through on recurring tasks
  • Clear, friendly communication for a front-facing role
  • Discretion in handling confidential or sensitive information
  • Proficient with Microsoft 365 (Outlook, Teams, Word, Excel)
  • Prior experience administering a desk/room booking platform or similar workplace software (nice to have)
  • Experience supporting HR or People team functions (nice to have)
  • Experience coordinating travel arrangements (nice to have)
  • Comfortable lifting and moving light office and event supplies up to approximately 25 lbs (nice to have)
  • Must reside in one of the listed states: Arizona, California, Colorado, Connecticut, Florida, Georgia, Illinois, Indiana, Kansas, Massachusetts, Maryland, Michigan, Missouri, Nebraska, New Hampshire, New Jersey, New York, North Carolina, Pennsylvania, Rhode Island, South Carolina, Tennessee, Texas, Virginia, or Wisconsin
  • Legally authorized to work in the United States
