About the role
Key responsibilities & impact- Manage the Reservations Department and its daily operations
- Achieve budgeted goals by applying occupancy and rate principles to maximize yield
- Serve as liaison for the Group Reservation Specialist and Front Office Manager
- Maintain relationships and communication with the Worldwide Reservations Office
- Execute Reservations Department policies, procedures, and core standards
- Conduct standards testing, call observation, WRO test calls, and provide feedback
- Select, train, mentor, develop, schedule, and evaluate reservations staff
- Ensure reservations and WRO staff understand rooms, selling techniques, facilities, services, personnel, activities, and guest requests
- Order departmental supplies and equipment
- Control SAG reservations and ensure special handling of corporate clients, VIPs, and return guests
- Prepare return guest, VIP, arrivals, statistical, and recap reports
- Schedule staff according to budget guidelines and complete payroll records and labor forecasts
- Handle guest complaints and keep senior management informed
- Work with Sales on group bookings, contracts, files, cut-off dates, and special instructions
- Maximize inventory and room revenue through pickup and cut-off report control
- Review call volume, abandonment rate, and conversion reports and take appropriate action
- Enforce room and rate availability guidelines
- Maintain deposit refund records, rate codes, and PMS/WRO conversion tables
- Attend yield management meetings and conduct Reservations Department and WRO meetings
- Build relationships with other Reservations Managers
- Generate daily, weekly, and month-end reports
- Assist the Director of Revenue Management in their absence
- Respond to hotel emergencies and safety situations
- Complete projects assigned by management
Requirements
What you’ll need- College degree required
- One to Three years’ experience in a Rooms Division position with Four Seasons or another related organization
- Ability to work quickly in a high-pressure environment and handle stress
- Ability to select and train reservations staff, discipline and recommend succession/termination as necessary, and conduct performance appraisals
- Familiarity with guest rooms, selling techniques, hotel facilities, services, hours of operation, key personnel, special activities, and hotel functions
- Ability to operate and manage the Group Delphi system
- Ability to respond properly in any hotel emergency or safety situation
