About the role

Key responsibilities & impact
  • Welcome and assist patients, customers, and vendors
  • Serve as a primary point of contact for patient questions, requests, and general inquiries
  • Manage incoming calls, emails, and digital communications
  • Schedule, confirm, and reschedule patient appointments
  • Optimize provider schedules and help fill same-day openings
  • Support appointment reminder and confirmation processes
  • Verify patient demographics and insurance eligibility and maintain accurate EMR information
  • Assist with insurance coverage, benefits, and financial responsibility questions
  • Prepare patient charts and required documentation
  • Process co-pays, payments, charges, and account information in the EMR
  • Monitor patient flow and provider schedules, addressing delays, gaps, and scheduling conflicts
  • Keep patients informed about wait times, delays, and next steps
  • Coordinate with clinical and optical teams to support patient transitions and continuity of care
  • Support patient retention through follow-up, recall, and reactivation outreach
  • Maintain a clean, organized, patient-ready front office
  • Perform other duties assigned by the Practice Manager, Assistant Practice Manager, and/or Optometrist
