About the role

Key responsibilities & impact
  • Manage the CMO’s calendar in alignment with annual, monthly and weekly business rhythms
  • Scan four to eight weeks ahead and schedule preparation, alignment and decision meetings for major milestones
  • Apply calendar standard work, including attendees, reporting relationships, agendas, pre-reads, links, locations, global time zones and meeting buffers
  • Flag overloaded days or competing priorities and recommend adjustments
  • Maintain visibility into the CMO’s priorities, milestones, decisions, stakeholder commitments and emerging risks
  • Identify gaps before they become last-minute problems
  • Ensure the CMO stays connected to appropriate business leaders, customers, partners and team members
  • Prepare context, data, materials, pre-reads and stakeholder alignment for important meetings
  • Coordinate leadership meetings, town halls, offsites and other important team moments
  • Track decisions, commitments and follow-ups, with clear owners and deadlines
  • Build relationships across the leadership team and broader organization
  • Plan domestic and international travel, including itineraries, hotels, transportation, meeting logistics, contingencies and expense reports
  • Manage incoming requests and correspondence
  • Prepare and quality-check presentations, emails, reports and meeting materials
  • Route questions to the appropriate people
  • Handle confidential business, talent and personal information with discretion

Requirements

What you’ll need
  • At least 10 years of experience as an Executive Assistant supporting senior executives in a complex, global business environment
  • Experience supporting a leader responsible for a multibillion-dollar business or portfolio is strongly preferred
  • Strong business judgment and calendar-management skills
  • Ability to connect the executive’s time to business priorities
  • Forward-looking and proactive approach
  • Ability to anticipate preparation needs, identify stakeholders and act before being prompted
  • Ability to learn the portfolio, people, planning cycles and operating rhythms quickly
  • Clear communication and trusted relationship-building skills
  • Ability to gather context, use discretion and know when to act, escalate or ask a question
  • Highly organized and dependable, with speed, accuracy and attention to detail
  • Comfortable with Outlook, Teams, PowerPoint, Word and related collaboration tools
  • Associate degree or equivalent experience required
  • Bachelor’s degree preferred
  • Legally authorized to work in the United States
  • Must successfully complete a drug screen, as applicable
  • Willingness to work in a role that does not provide employment visa sponsorship
