About the role

Key responsibilities & impact
  • Deliver basic planning, administrative, and operational support across a designated division at a federal agency
  • Schedule meetings, manage distribution lists, capture and distribute meeting minutes, conduct data entry, and maintain documents
  • Coordinate and prepare briefing materials and presentations
  • Maintain team document repositories, including document organization, versioning, and collection
  • Assist in drafting and updating Standard Operating Procedures
  • Recommend improvements to team workflow efficiency and effectiveness
  • Compile and analyze data using database programs
  • Assist with preparing and reviewing reports
  • Participate in internal and external meetings, conduct research, and provide background information
  • Liaise with administrative staff of other agency offices and divisions
  • Monitor and adapt workflows and schedules based on importance, sensitivity, and confidentiality
  • Review outgoing materials and correspondence for consistency and procedural conformance
  • Maintain recurring internal reports, contact lists, and correspondence controls
  • Perform additional duties as assigned

Requirements

What you’ll need
  • Bachelor’s degree in a related discipline along with 1 year of related experience
  • Excellent organization skills and attention to detail
  • Prior administrative experience required
  • Ability to prioritize tasks and manage competing deadlines
  • Self-motivated with demonstrated qualities of humility and integrity
  • Highly productive with minimal need for direct supervision
  • Excellent written and verbal communication skills
  • Expertise in MS Office, including MS Outlook, Word, Excel, and PowerPoint
  • Experience working with immigrants, refugees, and underserved populations is preferred
  • Existing MBI T2 Public Trust or ability to obtain one
  • No US citizenship required
