About the role

Key responsibilities & impact
  • Support faculty in the financial and compliance management of externally funded awards
  • Serve as a liaison between faculty and university offices
  • Provide financial oversight, forecasting, and post-award support for ARPA-H awards and OTA contracts
  • Maintain auditable records for expenditures, cost transfers, procurements, and approved budget modifications
  • Prepare monthly financial reports, reconciliations, and early warnings for budget variances, underspend, and cashflow risks
  • Track commitments, actual expenditures, accruals, forecasts, available balances, and burn rates
  • Coordinate financial reporting and invoice reviews across prime, co-lead, sub-performers, and consortium participants
  • Guide faculty through financial aspects of sponsor progress reports and assess effort adjustments or prior approval requests
  • Maintain records supporting cost transfers, procurements, consultant costs, and equipment purchases
  • Apply financial change control and support award modifications with cost impact analyses and budget scenarios
  • Re-forecast and re-baseline budgets in response to shifting priorities, re-scoped milestones, and sponsor redirections
  • Partner with Lead Project Managers, Program Managers, and PIs to integrate cost, schedule, and performance information into program reporting
  • Ensure award accuracy and compliance with sponsor and institutional regulations

Requirements

What you’ll need
  • Bachelor’s degree
  • Five to seven years of progressively responsible experience in a grants management role
  • Knowledge of sponsored research funding mechanisms, including NIH, ARPA-H, NSF, and DOD
  • Expertise with federal funding guidelines, including 2 CFR 200 and FAR
  • Proficiency with financial systems, accounting, and cost accounting standards related to grants and contracts management
  • Budgeting experience and high proficiency in Excel
  • Proficiency with Adobe Professional and DocuSign
  • Excellent verbal and written communication skills
  • Strong organizational skills and ability to thrive in a fast-paced, rapidly evolving research environment
  • Ability to master unfamiliar funding mechanisms, sponsor requirements, and financial systems quickly with minimal supervision
  • Ability to establish priorities, adapt to changing circumstances, and multitask effectively under pressure and short deadlines
  • Collegial and collaborative working style
  • Ability to build and sustain relationships across faculty, university offices, and academic/industrial consortium partners
  • Preferred: Experience managing complex federal post-award finances, preferably ARPA-H, DARPA, BARDA, or similarly milestone-driven awards
  • Preferred: Experience with milestone-based payments, multi-year forecasting, consortium or multi-site financial coordination, and sub-performer oversight
  • Preferred: Familiarity with Workday
  • Preferred: Advanced Excel and financial systems skills, including budget, burn-rate, variance, and forecast dashboards
  • Preferred: Experience adapting financial processes and reporting tools to mid-stream program changes
