About the role
Key responsibilities & impact- Coordinate complex calendars, domestic and international travel, leadership and Board meetings, events, and related logistics for multiple executives
- Provide responsive support outside standard business hours for executive time zone differences, travel, and critical business needs
- Prepare executive meeting agendas, briefing materials, presentations, and business documents
- Collect, organize, and prepare information for executive meetings, leadership discussions, and external engagements
- Track action items and ensure timely follow-through on key decisions and commitments
- Coordinate between executives, employees, customers, partners, board members, and external stakeholders
- Handle highly confidential and sensitive information
- Build understanding of company priorities, operations, and stakeholder relationships to anticipate executive needs
- Prepare expense reports, correspondence, and business documents
- Partner with executives and cross-functional teams to improve efficiency, alignment, and execution
- Prioritize requests, resolve issues, and ensure critical business matters are addressed
- Leverage AI and productivity tools to improve efficiency, quality, workflows, and executive support
- Complete special projects and administrative initiatives as needed
Requirements
What you’ll need- 5+ years of executive support experience, preferably supporting senior executives or C-suite leaders
- Exceptional organizational, time management, and communication skills
- Ability to manage multiple priorities with accuracy, attention to detail, and a high degree of responsiveness
- Ability to provide support outside standard business hours as needed, including occasional evenings, weekends, and travel-related coordination
- Demonstrated executive presence and ability to interact professionally with senior executives, customers, partners, board members, vendors, and external stakeholders
- Highest levels of professionalism, discretion, integrity, and accountability
- Strong problem-solving skills, sound judgment, and proactive approach
- Ability to navigate ambiguity, exercise independent decision-making, and manage sensitive matters with discretion
- Advanced proficiency with Microsoft Office and collaboration tools, including Outlook, Word, Excel, PowerPoint, SharePoint, and Slack
- Strong experience with travel, expense, and financial management platforms such as Concur
- Ability to effectively leverage AI tools
- Flexibility to support changing business needs and priorities
