About the role
Key responsibilities & impact- Provide comprehensive administrative support to the Chief Executive Officer, Chief Financial Officer, Chief People Officer, Chief of Staff, and other senior executives
- Manage complex calendars, travel coordination, meetings, and executive logistics
- Plan, organize, and execute executive projects and special events, including departmental all-hands meetings, off-sites, and physical office moves
- Prepare and collect materials for executive presentations and meetings
- Document meeting minutes, decisions, and action items
- Manage and reconcile expense reports and purchase requisitions in accordance with company policies and guidelines
- Maintain organization charts, staffing information, filing systems, and contact matrices
- Coordinate vendor and customer review meetings and ensure adherence to corporate policies and guidelines
- Provide backup support to other executive administrative staff
- Oversee general office operations, including office supplies and equipment maintenance
Requirements
What you’ll need- Demonstrated advanced experience supporting senior executives in a fast-paced environment
- Proven ability to manage multiple priorities and complex schedules with precision and attention to detail
- Demonstrated project management experience, including coordinating meetings, events, or office initiatives
- Proficiency with Microsoft Outlook, Word, PowerPoint, and Excel
- Experience managing HR-related processes and maintaining confidential organizational information
- Demonstrated ability to learn and adopt new office technologies and systems
- Familiarity with web development and SharePoint is highly desirable
- Proactive, resourceful, and able to exercise sound judgment when handling highly confidential information
- Skilled communicator comfortable interacting with senior executives, customers, vendors, visitors, and cross-functional partners
- Highly organized and detail-oriented, with the ability to resolve time-sensitive issues independently
- Collaborative team player able to work effectively with executive assistants, managers, and other stakeholders
- Flexible and adaptable, with the ability to accommodate changing priorities and schedules
