About the role

Key responsibilities & impact
  • Manage the donor database, including data maintenance, gift processing, acknowledgments, reporting, solicitations, list creation and maintenance, and communication mailings
  • Reconcile donor database deposits against QuickBooks reports with the accounting team
  • Generate reports for mailings, donations, bank deposits, board reports, annual audits, and 990 preparations
  • Monitor fundraising software changes and features through investigation, training, and documentation review
  • Assist with online store operations, including product management, order processing, and design support
  • Develop and maintain policies and procedures for data integrity, analysis, reporting, compliance, and system best practices
  • Assist with online fundraising events and fundraising administration
  • Respond to donor, grantmaker, and corporate sponsor inquiries by email and telephone
  • Implement donor stewardship strategies and develop relationships with prospective donors
  • Support fundraising events, including coordinating mailings and auction logistics
  • Draft and design fundraising email communications and campaigns
  • Maintain a cloud-based document management system
  • Research private foundation and corporate sponsorship, giving, and grant programs
  • Draft grant proposals and help develop grant proposal strategy
  • Develop grant deadline calendars and prepare and monitor grant budgets
  • Maintain grant payment and communication records in donor management software
  • Create monthly reports for grant-related activities
  • Optimize grant administration processes

Requirements

What you’ll need
  • 2-3 years in a non-profit setting; animal welfare field knowledge or experience a plus
  • 2-3 years of operations or non-profit development experience in an analytical or administrative capacity
  • Experience with gift entry and financial reporting in donor database systems like Neon
  • Strong attention to detail, copyediting, organizational, data management, and reconciliation skills
  • Experience with Microsoft Office, PowerPoint, Excel, monday.com, and cloud-based applications such as Google Docs and Dropbox
  • Experience with writing/research; grant writing a plus
  • Ability to work under deadlines and juggle multiple projects
  • Ability to collaborate with staff and board
  • Ability to self-manage time while working remotely
  • Availability to work some hours between 8:00 am and 5:00 pm Eastern time, Monday-Friday
  • Must be located in the United States
