About the role
Key responsibilities & impact- Set the tone for team member culture and family experience at the center
- Provide excellent customer service and assist clients and families with treatment access and initial intake
- Maintain communication with prospective clients and parents
- Maintain a clean, operationally well-run, and aesthetically pleasing center
- Manage recurring supply orders and coordinate facility maintenance with Facilities and Purchasing
- Ensure compliance and credentialing standards, including BHCOE standards
- Monitor center expenses
- Assist with center events
- Provide direct 1:1 ABA therapy as needed to cover absences and prevent cancellations
- Verify client insurance eligibility and coverage
- Market community-based services to doctors’ offices, schools, speech/PT/OT centers, and other organizations
- Manage Behavior Technician and client schedules and enter them into required systems
- Track daily operational metrics and report to the State Director
- Track Behavior Technician and client attendance and notify supervisors when disciplinary action is needed
- Schedule non-billable technician hours and approve Behavior Technician PTO and unpaid time off
- Ensure staff are assigned only to clients for whom they are credentialed
- Coordinate training, compliance, staffing, and incoming case needs with Clinic Directors, State Directors, Intake, Recruiting, and in-home operations
- Complete Behavior Technician offboarding, documentation, and property recovery
- Manage payroll and billing accuracy through daily reviews
- Provide day-to-day administrative support, including greeting clients, ordering supplies, faxing, and filing
- Perform other duties designated by the supervisor
Requirements
What you’ll need- High school diploma or equivalent
- Registered Behavior Technician Certification
- 2+ years of office management or customer service experience required
- Ability to follow written instructions
- Ability to use computers and computer/software programs
- Ability to communicate expressively and receptively
- Proficiency in PC software, especially spreadsheet programs
- Strong written and verbal communication skills
- Ability to build rapport, explain complicated information accessibly, handle challenging phone conversations, and represent the Golden Steps brand
- Ability to organize, prioritize, multitask, meet deadlines, and meet or exceed benchmarks
- Ability to work collaboratively and independently
- Excellent interpersonal and listening skills
- Experience analyzing and summarizing data clearly and concisely
- Strong work ethic with attention to detail, accuracy, and quality
- Established track record of generating error-free work
- Organizational and multitasking skills
- Ability to work independently and exercise good judgment and decision-making
- Ability to lift up to 35 pounds
- Ability to bend, kneel, squat, sit at floor level or in a chair, stand, and follow children throughout the center
- Must receive and maintain CPR and First Aid
