Clinic Manager

About the role
Key responsibilities & impact- Set the tone for team member culture and family experience at the center
- Provide excellent customer service and assist clients and families with initial intake
- Maintain communication with prospective clients and parents
- Maintain a clean, operationally well-run, and aesthetically pleasing center
- Manage recurring supply orders and coordinate maintenance with Facilities and Purchasing
- Ensure compliance and credentialing standards are met
- Monitor center expenses and assist with center events
- Provide direct one-to-one ABA therapy when needed to cover absences
- Verify client insurance eligibility and coverage
- Market community-based services to increase center caseload
- Manage Behavior Technician and client schedules and enter them into required systems
- Track daily operational metrics and report to the State Director
- Track Behavior Technician and client attendance
- Approve Behavior Technician PTO and unpaid time off
- Ensure staff are assigned only to clients for whom they are credentialed
- Coordinate training, compliance, staffing, and recruitment needs
- Match Behavior Technicians to incoming cases
- Coordinate coverage and transfers with in-home operations
- Report clinic, intake, staffing, and marketing needs to the State Director
- Complete Behavior Technician offboarding and collect required documentation
- Secure company equipment and property
- Review payroll and billing accuracy daily
- Provide administrative support including greeting clients, ordering supplies, faxing, and filing
- Perform other duties assigned by the supervisor
Requirements
What you’ll need- High school diploma or equivalent
- Registered Behavior Technician Certification
- 2+ years of office management or customer service experience required
- Ability to follow written instructions
- Ability to use computers and computer/software programs
- Ability to communicate expressively and receptively
- Proficiency in PC software, especially spreadsheet programs
- Strong written and verbal communication skills
- Ability to organize, prioritize, and handle multiple tasks
- Ability to adhere to established deadlines and meet or exceed team benchmarks
- Experience analyzing and summarizing data clearly and concisely
- Organizational and multitasking skills
- Ability to work independently and exercise good judgment and decision-making
- Ability to lift up to 35 pounds
- Ability to bend and squat for up to an hour per day
- Ability to perform fine and gross motor activities, including bending, kneeling, squatting, sitting, and standing
- Ability to follow a child throughout the center, sometimes at a rapid pace
- Ability to work Monday through Friday center hours, with additional time or flexible schedules as required
