About the role
Key responsibilities & impact- Oversee the effective day-to-day operation of assigned VITA clinic sites
- Ensure compliance with IRS Quality Site Requirements, Volunteer Standards of Conduct, and other VITA requirements
- Supervise and support volunteers by communicating expectations, providing guidance, addressing concerns, and promoting teamwork
- Verify volunteer agreements and certifications and ensure duties remain within certification levels and VITA scope
- Develop and maintain volunteer schedules and coordinate staffing, equipment, supplies, forms, and other resources
- Oversee tax preparation and quality review processes before returns are filed
- Support taxpayer services, answer questions and concerns, and assist with tax inquiries and appointment scheduling
- Review completed tax returns with taxpayers and obtain required signatures and authorizations, including Form 8879 and applicable state documents
- Protect taxpayer information and documentation in accordance with privacy, security, and recordkeeping requirements
- Share and monitor adherence to Volunteer Tax Alerts, Quality Site Requirement Alerts, and other IRS updates
- Work with the VITA Program Coordinator to prepare sites, coordinate appointments and communications, prepare materials, and submit data and grant information
- Identify and resolve routine operational issues, escalate matters when appropriate, and improve site quality and efficiency
Requirements
What you’ll need- Knowledge of or ability to learn VITA program requirements, IRS procedures, Quality Site Requirements, Volunteer Standards of Conduct, and taxpayer privacy and confidentiality requirements
- Knowledge of or demonstrated ability to learn federal individual income tax concepts and VITA tax preparation requirements
- Ability to supervise, support, coach, and motivate volunteers
- Strong organizational and time-management skills
- Strong verbal and written communication skills
- Ability to identify and resolve routine operational issues and escalate matters when needed
- Ability to learn and use tax preparation software, scheduling systems, data management systems, Microsoft Office applications, and other VITA technology
- High integrity and accountability; ability to safeguard sensitive taxpayer and financial information and maintain accurate records
- Ability to work in a fast-paced, seasonal environment and adapt to changing requirements and site needs
- Bilingual proficiency is a plus but not required
- Ability to travel up to 50%
- Associate degree in accounting, finance, business administration, human services, or a related field preferred; or equivalent combination of education and relevant work experience
- Previous experience preparing individual income tax returns strongly preferred
- Must attain and maintain required IRS VITA certifications appropriate to the position: Volunteer Standards of Conduct, Intake/Interview/Quality Review, Basic Tax Law, Advanced Tax Law, and Site Coordinator
- Ability to maintain a stationary position to operate a computer and office equipment
- Ability to clearly communicate, identify, analyze, and assess details
- Ability to move freely throughout facilities and lift, push, or pull up to 20 lbs.
