About the role

Key responsibilities & impact
  • Create client and matter records in the firm’s practice management system and follow naming conventions and matter setup protocols
  • Maintain and update billing addresses, contact information, invoice delivery preferences, attorney rate structures, and client-specific rate agreements
  • Update matter status and ensure proper documentation
  • Review and input matter plans, billing notes, and special client requirements
  • Manage rate uploads, adjustments, billing arrangements, fee structures, and alternative fee agreements
  • Coordinate with billing and eBilling teams to align data with vendor portal requirements and resolve discrepancies
  • Record and maintain outside counsel guidelines and billing restrictions
  • Track client-specific billing instructions in system notes
  • Collaborate with attorneys, billing teams, finance leadership, and administrative staff
  • Attend onsite trainings and conduct business travel as needed
  • Report to the Director of Revenue Management

Requirements

What you’ll need
  • Bachelor’s degree or equivalent experience preferred
  • Minimum of one year of work experience
  • Law firm or accounting/financial experience preferred
  • Ability to work under pressure, meet strict deadlines, and prioritize multiple tasks
  • Strong attention to detail and organizational skills
  • Ability to adapt and shift priorities in a fast-paced environment
  • Strong analytical and problem-solving skills
  • Excellent interpersonal and written/verbal communication skills
  • Professional demeanor and polished presentation
  • Ability to recognize and maintain confidential, sensitive, and proprietary information as confidential
  • Computer proficiency in Windows-based software and Microsoft Office Suite applications
  • Exceptional computer skills and ability to learn new software applications quickly
  • Understanding of AI capabilities, limitations, and responsible use in a professional environment
  • Familiarity with or willingness to learn firm-approved AI tools such as Copilot or ChatGPT
  • Ability to perform the stated physical requirements, including extended sitting, manual dexterity, filing, bending, standing, and lifting files
  • Flexibility to work overtime
