About the role

Key responsibilities & impact
  • Update information and upload documents into an immigration case management system
  • Assist attorneys or paralegals with case initiation
  • Maintain, update, and organize client files
  • Assist in drafting immigrant and non-immigrant visas
  • Perform data entry and maintain data integrity
  • Update and maintain assigned reports
  • Monitor immigration expiration dates
  • Compose engagement letters as requested
  • Manage caseload and process and distribute essential documents
  • Process incoming and outgoing correspondence
  • Manage phone lines, multiple calendars, and time entry
  • Make travel arrangements and process travel and business expense reports
  • Assist with department activities and perform additional assigned duties
  • Collaborate with attorneys, paralegals, and staff in a fast-paced environment preparing high-volume business immigration applications
  • Report to the Client Service Supervisor
  • Work overtime as needed

Requirements

What you’ll need
  • High attention to detail and outstanding organizational skills
  • Ability to manage time effectively and prioritize multiple tasks under strict deadlines
  • Ability to work under pressure
  • Self-starter who can work independently with minimal supervision
  • Strong problem-solving, initiative, judgment, and follow-up skills
  • Excellent oral and written interpersonal and communication skills
  • Professional demeanor and presentation
  • Minimum 1-3 years experience supporting multiple people
  • Prior immigration experience and/or law firm experience is desired
  • Customer service experience
  • Computer proficiency in Windows-based software and Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook
  • Exceptional computer skills and ability to learn new software applications quickly
  • Basic understanding of artificial intelligence, including core capabilities, limitations, data privacy, accuracy, verification, and ethical considerations
  • Familiarity with or willingness to learn AI platforms such as Microsoft Copilot or ChatGPT
  • Proactive approach to learning and adapting to emerging AI and related technologies
  • Bachelor's degree preferred
