About the role

Key responsibilities & impact
  • Support attorneys within the Global Restructuring and Special Situations practice
  • Serve as the key point of contact for internal and external clients
  • Liaise between attorneys and clients
  • Provide administrative, clerical, and document processing services
  • Assist in organizing client events
  • Process and follow up on invoice payments
  • Manage busy calendars and schedule appointments
  • Prepare and organize complex travel arrangements
  • Maintain client files and update contact lists
  • Read, research, and route correspondence
  • Monitor, screen, respond to, and distribute incoming communications
  • Process reimbursement expenses, expenditure reporting, and credit card reconciliation
  • Manage invoicing, client billing and collections, and time entry
  • Coordinate with opposing counsel and courts to support client relationships
  • Draft client engagement letters and process conflict checks and new matter requests
  • Assist with business development initiatives, filings, and marketing-coordinated events
  • Maintain paper and electronic legal files
  • Assist with filing pleadings with the court and service thereof
  • Assist with preparing fee applications for estate representations
  • Prepare agendas and review and prepare billing invoices
  • Perform other department activities and additional assigned duties

Requirements

What you’ll need
  • Bachelor's degree or equivalent experience preferred
  • Minimum 5 years of experience as a legal secretary/assistant, working in a business law practice with focus on the bankruptcy practice area
  • Proficiency with invoicing and fee applications
  • Extremely organized and detail-oriented; able to multi-task and prioritize workload
  • Excellent interpersonal, verbal, and written communication skills
  • Ability to collaborate well in a team and work independently
  • Ability to work under pressure to meet strict deadlines
  • Ability to learn quickly and adapt to new situations
  • Ability to respond outside of normal business hours
  • Exceptional computer skills and ability to learn new software applications quickly
  • Proficiency with Windows-based software and Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook
  • Proficiency with document management and other office technologies
  • Understanding of AI capabilities, limitations, and responsible use in a professional environment
  • Familiarity with, or willingness to learn, firm-approved AI tools such as Copilot, ChatGPT, or similar platforms
  • Willingness and flexibility to work overtime as needed
  • Ability to perform physical requirements including prolonged sitting, manual dexterity, filing, and lifting files
