About the role

Key responsibilities & impact
  • Own resourcing across EMEA and maintain an accurate view of staffing and workload
  • Chair the weekly resource meeting and review departmental capacity
  • Attend Incoming meetings and convert casting requirements and pipeline changes into bookings
  • Maintain accurate Paprika jobs, pipeline stages, schedules, bookings and confidence states
  • Resolve capacity conflicts and prioritise committed versus speculative work
  • Enforce booking rules with project managers and client services
  • Identify freelance needs and determine whether gaps are covered by freelancers, internal resources or revised timelines
  • Brief Talent on freelance requirements and confirm fit against the plan
  • Ensure freelancers are onboarded, booked, visible in schedules and supported through completion
  • Track regional freelance spend and maintain the freelance tracker
  • Onboard starters on timesheets, Paprika and resourcing processes
  • Own weekly EMEA timesheet compliance and escalate repeat offenders
  • Train PMs and client services on booking rules and maintain guidance
  • Ensure leavers are removed from schedules
  • Verify utilisation targets, contract end dates, grades and rates
  • Maintain saved views and billable-target reference data
  • Escalate system issues and development needs to the Operations Director
  • Implement efficiencies and use AI to reduce manual reporting, reconciliation and follow-up
  • Report to the Operations Director and collaborate with delivery, client services, department heads, project managers and Talent

Requirements

What you’ll need
  • 3–5 years of resourcing or studio traffic experience in a busy agency
  • Experience running traffic across project work and retained accounts with multiple competing demands
  • Ability to match people to work based on skill, level and fit
  • Ability to prioritise competing demands and explain decisions
  • Experience briefing and managing freelance resources
  • Experience managing a budget
  • Experience holding senior people to processes and improving ineffective processes
  • Confidence working in a resourcing and job management system
  • Paprika experience useful but not essential
  • Comfortable reading capacity reports, identifying errors and explaining findings
  • Existing use of AI or readiness to learn quickly
  • Ability to work with data, reporting, reconciliation and follow-up
