About the role

Key responsibilities & impact
  • Serve as the primary point of contact for office support and customer service
  • Analyze, troubleshoot, and execute assigned program support tasks
  • Initiate and track assignments to achieve program objectives
  • Prepare accurate work products requiring minimal government review
  • Coordinate and prioritize multiple concurrent assignments
  • Assist senior staff and office directors with high-level operations, projects, events, and cross-functional initiatives
  • Manage calendars, schedules, appointments, and meetings
  • Schedule and coordinate special events, logistics, stakeholders, and leadership briefing materials
  • Compile and summarize information for correspondence, reports, and briefing papers
  • Coordinate responses to controlled correspondence
  • Proofread outgoing correspondence and review package contents
  • Respond to general inquiries and follow up on routine correspondence
  • Support scheduling, meeting coordination, time reporting, records management, procurement tracking, travel logistics, and resource inventory management
  • Create reports and communicate findings to TFHRC Leadership
  • Coordinate meetings, presentation materials, meeting minutes, and follow-up actions
  • Perform timekeeping, data entry, database maintenance, and office file management
  • Prepare, submit, route, and monitor procurement requests and related approvals
  • Make travel arrangements, including reservations, tickets, travel authorizations, vouchers, and itineraries
  • Identify process improvements and prepare correspondence, reports, technical papers, tables, charts, graphs, presentations, and government forms
  • Support special projects, TFHRC programs, RD&T offices, meetings, facility tours, conferences, and events
  • Plan and facilitate laboratory tours and special events
  • Support the TRB/FHWA Annual Meeting, including attendee and equipment tracking, shuttle schedules, meeting space, and on-site assistance
  • Conduct property inventory and supply tracking
  • Manage government property and share findings with the Accountable Property Officer
  • Drive government-owned vehicles and coordinate fleet maintenance, licensing, registration, mileage, fuel, and GSA reporting

Requirements

What you’ll need
  • One to two years of relevant experience
  • High School Graduate or General Education Diploma (GED)
  • Good written and oral communication skills
  • Organizational skills
  • Ability to work both individually and as part of a team
  • Proven ability to produce quality work under deadlines
  • Knowledge of Microsoft and Google office products, including Word, PowerPoint, Outlook, Excel, Google Docs, Google Meets, Slides, Calendar and Sheets
  • Knowledge of Access, SQL, SharePoint, web browsers, time and attendance tracking systems, and basic data entry application systems
  • Good customer service skills
  • Flexibility adapting to deadlines and changing priorities
  • Ability to operate a PC and phone in an office environment
  • Ability to perform some bending, light lifting, and carrying of equipment
  • Office front desk support and telephone coverage required
