About the role

Key responsibilities & impact
  • Lead a team in planning, coordinating, and executing high-visibility outreach and training events for a government client
  • Plan and execute training sessions, directorate events, multi-day conferences, roundtables, and stakeholder engagements
  • Work with government stakeholders to clarify event objectives, collect requirements, document needs, and align planning with program priorities
  • Coordinate with hotels, conference centers, and other venues to negotiate rates, secure meeting space, request A/V packages, review contracts, and coordinate onsite logistics
  • Coordinate with Guidehouse procurement to share client budgets, requirements, potential vendors, and event spaces for rate negotiation and contract execution
  • Oversee room layouts, signage, registration, attendee tracking, scheduling, run-of-show documentation, materials preparation, shipping, and coordination with government and contractor partners
  • Serve as onsite logistics lead for key events and manage real-time issue resolution
  • Assist with strategic communications to promote events, share updates, distribute materials, and coordinate messaging across directorates
  • Conduct after-action reviews, summarize lessons learned, track issues, compile feedback, and support continuous improvement
  • Manage, coach, mentor, and train team members supporting client delivery
  • Manage project scope, budget, and schedule for on-time, quality delivery
  • Manage and maintain client relationships to support client satisfaction and delivery excellence

Requirements

What you’ll need
  • Bachelor's degree
  • Seven (7) or more years of professional work experience supporting logistics, event planning, project coordination, or outreach activities
  • Experience leading projects, including establishing and managing work plans
  • Experience leading a team of four (4) or more staff
  • Strong strategic communication experience, including preparing briefing materials, drafting emails, coordinating messaging, and supporting client-facing engagements
  • Demonstrated event planning experience, including management and coordination of multi-day events, stakeholder meetings, breakout sessions, and trainings
  • Experience coordinating/managing procurement for events and event logistics, including coordinating cost estimates and contracts with venues, event vendors, and supply vendors
  • Excellent organizational skills, with the ability to manage many moving pieces, maintain trackers, coordinate schedules, and respond quickly to evolving client needs
  • Clear and effective communication skills, both verbal and written; confidence interacting directly with government clients and senior stakeholders
  • Ability to manage a team and work independently on fast-paced, high-priority tasks, while collaborating effectively with internal teammates and external partners
  • Willingness to travel for onsite event support, often for multi-day commitments
  • Proficiency with Microsoft Teams, Outlook, SharePoint, Excel, and Word
