About the role

Key responsibilities & impact
  • Support end-to-end planning of training sessions, directorate events, multi-day conferences, roundtables, and stakeholder engagements
  • Work directly with government stakeholders to clarify event objectives, collect requirements, document needs, and align planning with program priorities
  • Liaise with hotels, conference centers, and other venues to negotiate rates, secure meeting space, request A/V packages, review contracts, and coordinate onsite logistics
  • Coordinate with Guidehouse procurement to share client budgets, requirements, potential vendors, and event spaces so procurement can negotiate rates and secure contracts
  • Oversee room layouts, signage, registration, attendee tracking, scheduling, run-of-show documentation, materials preparation, shipping, and coordination with government and contractor partners
  • Serve as onsite logistics lead for key events and manage real-time issue resolution
  • Coordinate with venue teams, government representatives, program managers, and support staff
  • Assist with strategic communications to promote events, share updates, distribute materials, and coordinate messaging across directorates
  • Conduct after-action reviews, summarize lessons learned, track issues, compile feedback, and support continuous improvement of event planning processes

Requirements

What you’ll need
  • Bachelor's degree
  • Three (3) or more years of professional work experience supporting logistics, event planning, project coordination, or outreach activities
  • Strong strategic communication experience, including preparing briefing materials, drafting emails, coordinating messaging, and supporting client-facing engagements
  • Demonstrated event planning experience, including coordination of multi-day events, stakeholder meetings, breakout sessions, and trainings
  • Excellent organizational skills, with the ability to manage many moving pieces, maintain trackers, coordinate schedules, and respond quickly to evolving client needs
  • Clear and effective verbal and written communication skills
  • Confidence interacting directly with government clients and senior stakeholders
  • Ability to work independently on fast-paced, high-priority tasks while collaborating with internal teammates and external partners
  • Willingness to travel for onsite event support, often involving multi-day commitments
  • Proficiency with Microsoft Teams, Outlook, SharePoint, Excel, and Word
  • Experience supporting event logistics or planning for federal government clients, particularly DoW (nice to have)
  • Experience negotiating or coordinating with hotels, conference centers, or large event venues, including reviewing contracts, minimums, and setup requirements (nice to have)
  • Familiarity with A/V coordination, onsite technical troubleshooting, or production vendors (nice to have)
  • Understanding of federal procurement processes and policies, especially for government-sponsored events (nice to have)
  • Prior experience supporting outreach, communications, or stakeholder engagement efforts (nice to have)
  • Familiarity with military family programs, quality of life initiatives, or federal readiness/support offices (nice to have)
