About the role

Key responsibilities & impact
  • Support the Northwest SVP as primary point of contact for internal and external constituencies
  • Partner with the West leader to define regional objectives, track KPIs, and execute high-priority goals
  • Organize, prioritize, and manage the executive’s complex, shifting calendar
  • Proactively troubleshoot scheduling conflicts and protect the executive’s time
  • Liaise between the executive and employees, clients, and external partners
  • Filter emails, answer phone calls, and direct correspondence
  • Manage meeting cadences and prepare meeting materials, agendas, presentations, and background research
  • Attend strategic meetings, take concise minutes, and track action items
  • Bridge leadership and staff, solve unowned problems, and address operational gaps
  • Draft internal memos, presentations, briefs, and talking points
  • Compile and draft itemized expense reports using Excel and Expensify
  • Assist with or independently manage cross-functional projects, coordinating resources and tracking milestones

Requirements

What you’ll need
  • 5+ years of experience as an executive assistant, administrative assistant, or similar high-level support role
  • Exceptional written and verbal communication skills with a refined professional demeanor
  • High proficiency with office productivity platforms and Google Workspace
  • Experience with communication tools such as Slack and Zoom
  • Experience with CRM tools like Salesforce is a plus
  • Strong multitasking skills and ability to pivot quickly in a fast-paced, fluid business environment
  • Proven ability to handle highly confidential, sensitive corporate and personal information with utmost integrity
  • Ability to travel up to 30%
  • Sedentary work capability
  • Substantial movement of wrists, hands, and/or fingers for a minimum of 8 hours a day
  • Close visual acuity for computer terminal viewing and/or extensive reading for a minimum of 8 hours a day
