About the role

Key responsibilities & impact
  • Assist with new client onboarding and update client information in internal systems
  • Process new client setup forms and prepare engagement letters
  • Assist with the annual engagement letter process, including preparation, distribution, tracking, and follow-up
  • Assist with tax return processing and assembly, including electronic and physical deliverables
  • Sort, scan, distribute, and maintain incoming and outgoing mail and correspondence
  • Support calendaring, scheduling, certified mailings, DocuSign requests, faxing, and document preparation
  • Maintain and organize electronic and physical client files and records
  • Track outstanding administrative items and follow up with team members
  • Maintain and stock office supplies and coordinate supply orders
  • Provide administrative support to the Tax department and assist with special projects
  • Manage administrative functions to ensure seamless operations and positive client interactions

Requirements

What you’ll need
  • 1–2+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced professional services work environment
  • Accounting, Financial Services, or Law firm experience highly desirable
  • Exceptional writing, editing, and proofreading skills
  • Strong organization and time management skills
  • Strong computer skills
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word
