About the role

Key responsibilities & impact
  • Coordinate the administrative onboarding process from accepted offer through the employee's first day and initial onboarding period
  • Coordinate with IT, Office Services, hiring managers, and other departments to prepare equipment, system access, workspace, building access, and resources
  • Prepare and send new-hire communications, onboarding schedules, welcome information, and required documentation
  • Conduct the HR portion of new-hire orientation and serve as a primary HR point of contact
  • Coordinate background checks, I-9/E-Verify requirements, new-hire paperwork, and compliance documentation
  • Coordinate employee separations and offboarding
  • Coordinate return or retrieval of firm property
  • Maintain termination and employee-change documentation and update HR systems and records
  • Provide administrative support for employee benefits and leaves of absence
  • Assist with benefits tasks, employee communications, documentation, enrollment periods, benefit records, leave tracking, and leave communications
  • Maintain and monitor CPA and other professional license information
  • Track license expiration and renewal dates and communicate renewal requirements
  • Assist with license renewal and reporting processes
  • Maintain professional license and continuing education information in LC Vista
  • Track HR compliance, required training, and supporting documentation
  • Assist with performance management, employee review processes, review cycles, surveys, workflows, reminders, reporting, and system maintenance
  • Coordinate the employee recognition and rewards platform, including inventory monitoring and reordering
  • Respond to routine rewards-program questions
  • Maintain employee information and documentation in HR systems and personnel files
  • Assist with HR records and system audits
  • Respond to routine employee questions regarding HR processes, benefits, policies, and procedures
  • Provide backup support for the HR team
  • Identify opportunities to improve HR processes, checklists, documentation, and communications
  • Assist with special HR projects and other assigned duties

Requirements

What you’ll need
  • Three or more years of progressive Human Resources, People Operations, HR Generalist, or similar experience; professional services experience preferred
  • Hands-on experience with employee onboarding and offboarding required
  • Exposure to benefits administration and/or leaves of absence is a plus
  • Bachelor's degree preferred; equivalent relevant experience will be considered
  • Experience with HRIS systems; ADP experience preferred
  • Experience with LC Vista or professional license/CPE tracking is a plus
  • Working knowledge of California employment practices and leave requirements preferred
  • SHRM-CP, PHR, or similar HR certification is a plus
  • Strong Microsoft Office skills, particularly Outlook, Word, and Excel
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple deadlines and recurring responsibilities
  • Strong written and verbal communication skills
  • Sound judgment and ability to exercise discretion and maintain confidentiality
  • Strong customer-service orientation
  • Ability to work effectively with employees at all levels, including partners and senior leadership
