About the role
Key responsibilities & impact- Answer incoming calls and direct phone calls appropriately
- Receive and process customer purchase orders and release orders to the warehouse
- Send sales order confirmations and customer invoices
- Verify shipping addresses, attention lines, purchase order information, and pricing
- Set up new customer accounts in the ERP system and update CRM buyer and AP contact information
- Provide customers with purchase, backorder, substitution, tracking, proof-of-delivery, and invoicing information
- Facilitate customer returns according to RGA/RMA procedures
- Process credit memos after returned items are placed back into inventory
- Record customer complaints and interactions in the CRM
- Support service department billing and miscellaneous inventory transactions
- Maintain envelopes and postage supplies
- Process demo sales, shipping documents, and installation-calendar updates
- Process trade-in credit memos and provide trade-in documentation
- Rotate staff to ensure reception desk coverage
- Enter sales orders, create return orders, look up pricing, and train new employees on customer service tasks
- Maintain current policies, procedures, and task documentation
- Accept additional projects related to essential job functions
Requirements
What you’ll need- Proficient in Word and Excel
- Strong verbal and written communication and interpersonal skills
- Ability to identify deficiencies in customer interaction and documentation and notify related departments
- Ability to take corrective action when needed
- Willingness and competence to support department and company goals
- Willingness and competence to interact with other departments and management to assess and improve processes
- Ability to perform tasks outside the primary assigned department and support departmental objectives
- Flexible and able to accept change
- Ability to work within a team environment and independently
- Minimum of High School diploma required
- Minimum of one (1) year of customer service experience required
- Drug and background screenings required
