About the role
Key responsibilities & impact- Lead strategic responses to Requests for Qualifications and Requests for Proposals for all company divisions and offices
- Co-manage proposal activity schedules, document development, activity coordination, and organization with the Proposal Manager
- Maintain qualification documents, third-party verification access, and corporate compliance information
- Coordinate with Legal/Contracts, Finance and Accounting, Safety, Quality, Marketing, Business Development, Operations, and other corporate departments
- Read, review, and break down RFI/RFP requirements into timely, compliant, and responsive strategic documents
- Schedule kickoff, status, review, and management meetings
- Create response templates and manage working drafts through final review
- Assign tasks and areas of responsibility to proposal contributors
- Conduct progress meetings and track response development
- Develop compliance checklists and matrices
- Incorporate, edit, and develop content from internal sources and subject-matter experts
- Provide and adapt corporate marketing material for proposals
- Perform desktop publishing, formatting, proofreading, and visual design
- Coordinate response submittal and delivery, including third-party uploads, printing, binding, and shipping
- Support strategic and bid/proposal-related tasks and internal requests
- Maintain opportunity schedules and provide data for weekly Capture Management and Opportunity reports
- Monitor the Qualifications and Proposals inbox and transfer client documents to Microsoft Teams channels or servers
- Maintain the firmwide content library and Teammate resumes
Requirements
What you’ll need- Bachelor of Arts in Marketing, Public Relations, Communication, or related field required
- 7+ years of marketing or proposal experience in a professional environment
- Knowledge and experience within the marketing, business development, and/or proposal field
- Strong planning, time management, and organizational skills
- High proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Microsoft Teams, SharePoint, Microsoft Dynamics, Adobe Acrobat, and other applicable tools
- Attention to detail and a command of English grammar and spelling
- Ability to work on a team to meet goals, including working with remote Teammates
- Ability to communicate effectively, both verbal and written
- Excellent interpersonal skills and ability to maintain effective working relationships with Teammates, clients, and vendors
- Strong work ethic and willingness to take ownership for wide-ranging responsibilities
- Ability to work in a fast-paced environment with extreme multitasking to meet multiple, simultaneous deadlines and assignments
- Focus on customer satisfaction
- Ability to work flexible hours as needed
- Ability to sit, stand, or walk for long periods of time
- Selected candidate must be authorized to work in the United States
