About the role

Key responsibilities & impact
  • Compile, manage, and execute attorney billing
  • Gather billing information and create and obtain approval on several hundred proformas
  • Create and distribute final invoices
  • Support and interface with multiple billing attorneys across Haynes and Boone office locations
  • Communicate with secretaries, staff, and firm clients while maintaining confidentiality
  • Create, review, and edit proformas in response to attorney and secretary requests
  • Execute complex bills, including multiple discounts by matter, split-party billing, and electronic bills
  • Compile supporting backup documentation
  • Submit invoices by mail, email, and e-billing through eBillingHub and other e-billing sites
  • Configure and maintain e-billing site information, including clients, matters, timekeepers, and rates
  • Communicate with clients regarding e-billing setup
  • Resolve e-billing disputes, rejections, and short pays
  • Ensure compliance with firm billing policies, client requirements, attorney deadlines, and outside counsel policies
  • Review billing requirements in new client engagement letters
  • Create and maintain desktop procedures and special handling requirements
  • Review and approve new client and matter intake forms for accurate 3E setup
  • Assist with verifying application changes or enhancements
  • Create and maintain client-specific reporting requirements
  • Create billing schedules and billing analyses
  • Assist with special projects and perform other related duties
  • Report to the Manager or Supervisor of Billing and work closely with partners in leadership positions
  • Does not supervise staff

Requirements

What you’ll need
  • One to three years of relevant experience required
  • Proficient knowledge of accounting processes
  • Proficient knowledge of Microsoft Office applications, primarily Excel, Word, and Outlook
  • Broad technical ability with demonstrated aptitude and willingness to learn new software/applications
  • Superior attention to detail, time management, and organizational skills
  • Strong analytical skills
  • Ability to multitask and prioritize work to meet aggressive deadlines
  • Strong client focus
  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team
  • Ability to work with many different types of personalities at all organizational levels
  • Associate degree in accounting or related field required
  • Equivalent experience will be considered
  • Ability to move around the office up to 15% of the time
  • Ability to remain stationary at least 85% of the time
  • Ability to operate computers and office productivity machines
  • Ability to occasionally move documents or files weighing up to 15 lbs.
  • Ability to inspect and observe information on a computer screen at least 80% of the time
