About the role

Key responsibilities & impact
  • Provide comprehensive administrative and organizational support to one or more A+E teams
  • Report to and support the President, Global Content Sales
  • Manage calendars, schedule meetings, and coordinate virtual and in-person meeting logistics
  • Prepare agendas, materials, notes or summaries, and follow-ups
  • Serve as a point of contact for internal partners, external vendors, and production partners
  • Coordinate travel and prepare or submit expense reports
  • Recommend and implement process improvements to increase team efficiency
  • Support room setup, catering coordination, and liaison with on-site teams
  • Assist with special projects, research, reporting, and presentations
  • Leverage AI-enabled tools to draft documents, organize information, summarize materials, and improve workflow efficiency
  • Handle confidential, sensitive, and time-sensitive information with discretion

Requirements

What you’ll need
  • At least 10 years of supporting an executive or team in a corporate environment
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Comfort with collaboration tools and digital platforms
  • Strong organizational, time management, and follow-through skills
  • Ability to manage multiple tasks and shifting priorities
  • Interest in or experience using AI tools for administrative and organizational work
  • Strong proofreading skills
  • Tech and systems-savvy; quick to learn new tools, processes, and platforms
  • Maturity, discretion, and good judgment when working with sensitive materials and senior stakeholders
  • Ability to work independently while collaborating closely with others
  • Must be commutable to New York City or Los Angeles; on-site 3 days per week
