About the role
Key responsibilities & impact- Provide advanced tactical and strategic administrative support to upper-level executives
- Maintain key records and compile data for reports
- Prepare expense reports and edit executive presentations
- Own executive calendars, schedule complex meetings, manage conflicts, and prioritize appointments
- Prepare meeting agendas, take minutes, and follow up on action items
- Screen and prioritize executive phone calls and emails and draft responses
- Manage executive travel, including international trips, visa applications, budgets, changes, and emergencies
- Handle sensitive and confidential information
- Generate statistical and analytic reports and executive presentations
- Serve as a primary contact for executives and internal/external stakeholders
- Coordinate administrative work across departments and companies
- Supervise entry-level executive assistants or administrative support staff
Requirements
What you’ll need- High School Diploma/General Education Diploma (GED)/Higher Secondary education or commensurate work experience or demonstrated competence
- Typically 8+ years of related work experience, preferably in senior/advanced general administrative support, office services, or a related field
- Advanced tactical and strategic administrative support experience
- Experience with calendar management, complex meeting scheduling, executive travel, visa applications, travel budgets, expense reports, presentations, reports, and confidential information
- Knowledge of Google Workspace, Microsoft SharePoint, SAP Concur, customer relationship management, office management, invoicing, purchasing, workflow management, and related administrative systems
- Ability to supervise entry-level executive assistants or administrative support staff
- Willingness to travel approximately 25%
